Tuesday 11th March

Morning All,

On my way into the office I collected the post books from downstairs and once I arrived in the office I was informed to buy dishwasher tabs… I emptied the dishwasher and made sure the kitchen was clean, then got myself a bottle of water, changed the setting of the phone to my reception desk and got stuck in with opening ICAL and emails luckily there’s not much to do today…

In between answering the phones and being ready to drop everything for whatever the editors need…

– I finished updating everyone’s movements for the week on ICAL
– Sign and hand out parcels
– Hand out the post
– Count competition entries
– Book a taxi for an editor
– Prep a meeting for the management team
– Clear out meeting room
– Book meeting rooms

Finally I can do some dissertation, hopefully I can get a lot of university work done yay… I do really need to get this done!

In the afternoon…
– The PA asked me if I could count some money for her, I feel almost privileged that they ask me to do so as I think it shows trust to trust someone with money
– Put on the dishwasher and empty it
– Frank and send out the post

As the PA has kindly said feel free to bring in university work whilst covering reception I have been working on my dissertation and I’m so happy to proudly admit in a day I have reached the 1000 word bench mark only 9000 more to go… ahhh

See you tomorrow…

Monday 19th August

Today I wasn’t due to be at placement

The receptionist called in sick, so the PA phoned me to see if I could come in last minute.

I am a believer of destiny that things happen for a reason and today I had the best day ever:)! Everything seem’s to be falling right into place and finally the wind is blowing in my direction. The world really is your oyster, there is so much for me yet to achieve but don’t worry it’s all written down and one by one I will tick it off. I got up early to take my mum to an appointment with my younger sister and if I didn’t get up early I wouldn’t have checked my phone to see the message asking to come into work. I also wouldn’t have been dressed for the day as opposed to me lounging around the house in my bright pink onesie.

As I said to my parents, ‘I’m going to work, they called me.’ My dad said to me, ‘Live your life to the fullest.’ I dunno something inside sparked me that he might be slightly proud that I seize every opportunity that I can. Do you know what that’s exactly what I’m doing, I love going to my work placement, its such an amazing place with an amazing atmosphere. I would be idiot to not want to go and gain more experience than I already have. I always come home feeling more inspired, feeling the adrenaline pumping through my veins and more excitedly wanting to do more… I get home with such a rush I can’t wait to be sharing it with you guys and telling my parents about how my day has gone.

Earlier I spoke to one of the editors who said that the general manager when looking at CV’s looks at extra things people do to get to where they want to be, I’m hoping that all of this will work in my favour.

For those of you that follow me on Twitter @rosaaversa92 you will know that I have been dying to get hold of a diary to organise my thoughts and life. I have finally got my hands on one but due to work and the unexpectedness leading life to get in the way. I suppose everything will have to be postponed till tomorrow.

Why am I so busy…. Ahhhhh. Being organised is hard work I try to stick to it but it’s that checking back that drives me crazy, that following up to see at what stage your at but as you know everything is a working progress and I will try…

Do make sure that you read my lifestyle blog of what I get up to when I’m not at placement and this blog seems to start becoming dormant! However I do have lot’s to come to keep you guys entertained so watch this space:)

Back to the work day…

Once I got in, I tidied the reception area as their was a meeting due to happen. I counted the competitions, finished typing up competition entries as they were not complete and sorted out another promotion for the receptionist. It was not as much work like I did last time but simply emailed the promotion people with a reply of, ‘The receptionist is away and will get back to you tomorrow.’ I also phoned  a competition winner who was ringing to find out about her competition. As the meeting room was cancelled I tidied up meeting room and cleared out the tea and coffee.

The day consisted of the following…

-I booked a taxi for an editor

-Handed out the post that was mixed in with the competitions

-Put on and emptied the dishwasher

-Filled up coffee jars

-Office recycling

-Franked and sent off post

-Made sure printer was filled with paper

-Wrote up my invoice for today’s hours…

-With the competition entries there was a competition to win some recipes I think and I realised that I had spelt it wrong and spelt recipes like this… receipes. I thought, ‘Oh god, I have to go through the whole 4600 entries and correct them all…thank god for copy and paste.’ Although it turns out it was the last 10 that I had been spelling wrong!!  Phew!

-I also did overtime today, as there is a big meeting tomorrow and they needed someone to stay and bind some documents.

-I’m also excited to  share that I’m going back to work placement tomorrow, Eeekk!! I’ll be assisting the PA with some jobs so god knows what experience i shall be gaining tomorrow…

It’s crazy I was actually hoping to write all of this at placement but I was so busy that I had no time to do it until 10:30 at night time for a shower followed by bedtime… I have to work tomorrow I have to be up at 7!!

See you tomorrow! X

Thursday 1st August

As its the away day no one is in the office so I thought I would do the tasks left for me to do from the receptionist and finance department. Once done those I can then crack on with these competition entires although their is not much to do today as no ones in apart from

– Remittance advice

– Frank letters ready to send

– Send off post

– Office recycling

– Put the dishwasher on although as i’m the only person in along with a freelancer I doubt that this has to be put on to wash one plate it can wait till tomorrow… you know let’s save the world!

– See if there is anything missing from the stationary cupboard so that the reception can order it tomorrow

– Look out for promotion email replies for the reception of which if any agree, to ring her and let her know by leaving a  voicemail that they have answered her query

– Start working on the test pieces, I am absolutely terrified of writing these as this is my big chance to show them that I should be here and that I will be a writer! I’m going to start with getting a copy of the magazine issues and read through them so that I can get a feel for the writing as I dont have much knowledge on the companies themselves! I then will crack on with each exercise I have 4 hours to write about 6 articles wish me luck I’ll let you know how I got on tomorrow!

OK I lied there is lots to do, oh and count the competitions that arrive today, hand out the post & leave the receptionist a note of all that I did today to update her – I took my editors advice! See I feel I am progressing as I learn all the time!

phewww the day is over…

Monday 29th July

Today was such a good day…

I Got in, had a catch up with the receptionist as she is now back for the week and I am back onto competition data entry, however it took me 10 minutes to open the document as the computer I was using converted it to numbers! I hate this programme, its so slow!

Today I went for it, if you don’t ask you will never get! I seen the editor who I was working with for the promotion whilst she had a spare minute and asked her for feedback about my writing as although I thought the emails were good she always updated them with tweeks before confirming to me that they were ok to send. Because she tweeked them, this time it didn’t discourage me, in fact it encouraged me to understand where I was going wrong. One thing she did say was as I dealt with it by myself on Friday, she said to handover a conclusion to her so that she knew at what stage the promotion was at so I sent her an email with the updates. (On my part it was stupid not to think of this or even see that common knowledge would say to do this) She said that writing professionally just comes with practice but she did say to perhaps think of taking a creative writing seminar course although expensive, it would look incredibly good on my CV. As the PA would maybe know any contacts with this she said she would look into it for me and also gave me a very good website as a starting point within my city, which I will check out!

I aspire to reach the top of work hierarchy like my CEO at my placement and today I finally got my chance to ask her about how she got to where she is. I see her as being the ultimate student as, as soon as she finished university she got a job straight away and said to  me as I’m interested in the editorial side of the magazine to ask the editors to do a try out piece. This would be such an achievement for me if I write it and they were to like it!

Extra Tasks:

I helped with handing out post as the receptionist was busy due to catching up on her emails etc

I had to re-print a document for the finance director which involved scanning it, printing it,  binding it and emailing it over as a PDF.

I also emailed the PA my holiday dates in which I won’t be available during September as I’m going on holiday… yay!

Friday 26th July

This morning I wrote up my invoice for this weeks hours and handed it in, I then opened emails and (ICAL) the agenda for the day…

– There was an email from one of the managers stating that he would not be in today ,so I made a note to take all messages for him and email him as he would be working from home.

– I carried on with updating this excel contact document as well as going the competition entries

– As the promotion prize has still not been sorted I have been following up with the competition winner, however the editor that was guiding me with this task is not in today so I’m a bit nervous about dealing with it on my own but to be honest it’s quite fun at the same time to be doing something different.

Finally I’m task free, time to get on with this data entry…

As part of the receptionist duty the following was done for the day ahead…
-Booking meeting rooms
-Hand out post
-Prep water for a meeting
-Counted competitions
-Put competitions away in relevant boxes
-Frank & send out post
-Keep the kitchen tidy
-Empty & put on the dishwasher
-De scale the kettles

Most of the afternoon consisted of me doing the competition entries apart from having the odd break with doing some of the reception duties…

Also the PA has gone home and has left me to run the phones alone, I find this a bit nerve-racking as she is my point of reference when I don’t know who to direct the call too…

I’m happy to say that this promotion has finally been dealt with and has been brought to a close, hopefully the receptionist will be pleased it’s done as I have sorted it out for her in her absence

I also got talking to a girl in the office who was on work experience here as well but hadn’t had a chance to talk to her, she was saying to me that she’s doing a degree in English but has no idea what to do after university. I said to her that it’s so important to get work experience because it can help you to decide in what direction you want you working life to go in just like it has for me.

Back to data entry competitions & with that it’s 1800 done… 2500 left… yay it’s finally the weekend…

See you on Monday!

Monday 22nd July

Today as well as finishing the competition entries, I’m also on reception duty which means I’m super busy as I have to do 2 jobs in 1… Once got in I made sure the office was tidy from the weekend and the kitchen too…
I filled the coffee jars, got myself my bottle of water and got stuck in with typing up the competitions, throughout the day the ‘being a receptionist tasks’ started to flow in, I…
-Booked meeting rooms throughout the day
-Franked a parcel for the CEO
-Called the concierge to let him know that one of the men’s toilet was blocked
-Handed out post to the addresses editors
-Booked taxis
-Double checked that a pre-booking for a taxi was done
-Emptied and put on a dishwasher
-Franked and sent off today’s post…
-Recycling was meant to be done today but as me and the receptionist did a big one last week there wasn’t much to recycle so I’ll leave it to pile up for Friday
with that were up too 997 competition entries written up!
See you tomorrow….

Thursday 18th July

Once got in I checked the competitions box and counted 400 more competition entries that I then have to open, I got on with finishing my task of opening every single one. When it got to lunch I pretty much inhaled it as I wanted to get this done quickly so that I can start to input the competition data, plus it always helps if you have eye of the tiger on your i-pod spurring you on!! I also counted and sorted out the other minor competitions for the different magazines that we publish.

Today was a pretty good day as the highlight of the day was one of the editors bought ice cream and was in the kitchen making everyone ice cream with sprinkles on just what we need in this heat!

I helped out the receptionist with tidying the kitchen, putting on and emptying the dishwasher and did the kitchen shop. I’m happy to say that I managed to finish opening all the competition entries time for inputting tomorrow yay….
